Urgency and Email

Posted on May 21st, 2014 · Posted in Analysis and Opinion

It’s less than three weeks to Overloaded 2014, IORG’s June 7 conference in San Francsico. I’m going – are you? Have you registered yet? I was discussing email overload solutions with a team of managers and we were considering how to differentiate urgent messages, when one guy asked: What is an urgent message? And who decides it’s urgent, anyway? Now, that is a deceptively simple question, one well worthy of some thought. What do we mean by Urgent? Although people seem to have a gut feeling of what “Urgent” means, once you open it for discussion you get different viewpoints… Read more

Solving Information Overload: a Hard Look at TO, CC and BCC

Posted on March 12th, 2014 · Posted in Organizational Solutions

Some of the best solutions to information overload are simple and free Now that I’ve finally published The Definitive Guide to Information Overload Solutions (whew!…), I can look at all the available solutions in one place; and one clear pattern I see is that some of the most effective solutions out there are so simple (and cost nothing) that you’d think everyone would adopt them. Which, sadly, is not what I see when I work to help my customers. Among these solutions is the concept of properly applying the distinction, provided by all email programs, between TO, CC and BCC.. A Disclaimer, Once And For All!

An uncalled for dissonance As you know I lecture often on Information Overload in organizations, and I describe in these lectures the manifold damages of email overload in a workplace setting, followed by the available remedies. To my surprise, I sometimes encounter an indignant response: people declare that email is a vital tool, and I’m wrong to declare war on it! This always catches me by surprise, because my battle is with the abuse and misuse of email, not with the tool itself; and I’ve certainly never called for abandoning email – I benefit from its use as much as.. We Must Prevent Email From Hitting a Wall

Posted on November 20th, 2013 · Posted in Analysis and Opinion

When technology hits a wall One thing about any mainstream technology: it can get so successful that it runs into a wall, and then another technology takes over. Take horse power: this worked great for millennia, but by the end of the 19th century there were hundreds of thousands of horses in New York City alone, and the manure they produced on the streets was becoming a huge problem. The issue was resolved only when the automobile was invented and took over (not, one may note, without creating its own environmental issues later on – and we’re waiting for the.. Read more

Email solutions for the era of Information Overload These days I’m hard at work on a major effort: I’m writing a white paper I call “Solutions to Information Overload: a Catalogue Raisonné”. It will be an encyclopedic compilation of every solution I know to Information Overload, from software to training tools, from behavior change drives to personal strategies, from commercial products to innovative ideas. And the more solutions I include, the more I find – there will likely be over 150 of them! While many of the solutions I include have been around for a decade or more, I am.. Read more

The Thousand Faces of Email – 2. Launch, Forget, and CYA!

Posted on July 24th, 2013 · Posted in Analysis and Opinion

Continuing the series about the numerous unplanned uses to which email has been put since its humble origins in the sixties, let’s take a look at a shady pair of practices: using email to pass the buck, while covering one’s back end in case of trouble. The wrong kind of delegation That people use email to delegate tasks is hardly surprising;  many tasks need to be delegated by their nature, after all. Things become interesting when the delegation is unwarranted, but is pursued notwithstanding. It turns out that email is especially handy for this situation. Before email, you’d have to.. Read more

The Thousand Faces of Email – 1. Email as a Documentation System

Posted on July 4th, 2013 · Posted in Analysis and Opinion

Email: the beast with a thousand faces Believe it or not, when email was invented back in the sixties it was with a clear goal in mind: to allow people to mail “letters” – written communications – electronically. It was a one to one messaging system. Those were the days… Since then, email has assumed so many roles that its original purpose is almost secondary. Like a mythical shape-shifting beast, it has morphed into countless usage models, some useful and desirable, others harmful and even criminal. Even the basic paradigm of email – that of asynchronous, persistent message exchange –.. Read more

The Legitimacy – or Otherwise – of Ultra-brief Emails

A devious solution to email overload A friend pointed me to a post  that offered a simple and highly unusual solution to email overload: change the signature block on your desktop email client to read “Sent from my iPhone”. The idea, the writer explained, is that this will make you “feel more comfortable offering short, direct, and concise replies to incoming emails, thus improving your email productivity and freeing up time to do other more important work”. This is certainly devious, is probably effective, and the logic seems unassailable… but it raises a question: why would you need it? Surely.. Read more

Radical Email Overload Solution: Batching Email Delivery

Posted on February 19th, 2013 · Posted in Individual Solutions, Organizational Solutions

One of the worst causes of information overload is the constant arrival of email into the knowledge worker’s attention sphere. With new mail arriving every few minutes, people can never fully focus on their work. If they haven’t turned off the “you’ve got mail” alerts they are passively distracted; if they have, a sizable fraction of users still distract themselves by checking for new email every few minutes. What is needed is a way to prevent this checking. A radical email overload solution concept Over my years of helping companies fight information overload I’ve devised my share of original solutions;.. Read more

Reduce Information Overload Using Brilliant Email Etiquette

Posted on January 10th, 2013 · Posted in Individual Solutions

Guest Post by Dr Monica Seeley Information overload and its sibling email overload continue to plague most business users.  Indeed although the latest figures for sick leave have been falling, the incidences of stress related illness have risen. Information overload and email overload are major contributors to stress related illness.   Our brains just cannot cope with the volume of information being  pushed at us, through email and now social technologies.  It has been suggested that we are now bombarded through these channels with the equivalent of 174 newspapers per day! In the case of email, a major problem is actually.. Read more
